Hotel Guest Parties: Turn Photos into Social Content
How hotel and resort teams turn weekly guest parties into social media content: one QR code, no app, moderated uploads and a repeatable weekly routine.
Quick answer
Create a Momentzy event for the party, print the QR code for the bar, the pool and the lobby, and switch on moderation. Guests scan with their camera and upload from the browser, with no app or account. Your team approves the best shots, shows them on a screen, and posts them with permission.
Why guest parties are your best content source
A resort entertainment team can run six parties a week and still end the season with a thin photo library. The team is busy hosting, the official photographer covers a fraction of the room, and the best pictures sit on guests' phones. Foam party, white party, sunset DJ set, welcome cocktail: the moments are there, the files are not.
A shared gallery behind a QR code closes that gap. Guests scan, type a first name and upload from the browser, with nothing to install and no account. For a hotel with guests from many countries that matters, and Momentzy runs in ten languages.
What the weekly routine looks like
Make it a routine that costs the entertainment team a few minutes. Each moment of the week can feed a gallery.
Keep the family night separate
Photos with children should not go to public channels by default. Run family nights as their own event, keep that gallery for the families present and get a parent's permission before posting anything.
| Moment | Where the QR sits | What guests upload | How your team uses it |
|---|---|---|---|
| Pool or beach party | Bar counter, sunbed signs, DJ booth | Group shots, dancing, drinks | Daytime stories and reels material |
| Sunset DJ night | Bar, terrace tables, stage edge | Crowd shots, skyline, friends | Best-of carousel the next morning |
| Family or kids club night | Family desk, parents' area | Family photos taken by parents | Private gallery for the families, not for social media |
How do you set it up in one afternoon?
Most of the work is the first time. After that, each week is a copy with a new name and date.
- Create the event with a name guests will recognise, such as the party night and the property name. You get a QR code and a short link straight away.
- Decide the structure: one event per party is simplest to moderate and hand over; check your plan's limits on the pricing page before choosing.
- Switch on moderation, so photos wait for approval before they appear in the gallery or on a screen.
- Add two or three photo challenges, such as best group photo, shown to guests as prompts.
- Upload your logo as a branding pack, so the gallery and the slideshow carry the hotel name and not just ours.
- Print the QR code on table tents, sunbed cards, a bar sign and the daily programme, then test it with your own phone in the venue's real lighting.
- Brief the bartenders and animation staff with one sentence: scan, add your name, upload.
Where should the QR code go?
Guests scan when the code is in front of them while they hold the phone. A poster in the corridor does very little.
- The bar: on the counter and on the cocktail menu, because everyone stops there with a phone in hand.
- The pool: on sunbed cards and on the sign by the towel desk, so guests scan before the party starts.
- The stage or DJ booth: a large code with a line such as scan and see yourself on the screen.
- The daily programme and the welcome pack, for guests who upload later from the room.
How do you turn uploads into posts without risk?
A gallery full of guest photos is not permission to publish them. Treat it as your source and add a deliberate step before anything goes on the hotel account.
Tell guests, on the printed card, that photos may be shown on screens and used on the hotel's channels, and how to ask for removal. Approve only photos you would be happy to post, and check with anyone shown prominently. Image-rights and data-protection rules differ between countries, so have your legal contact sign off on the wording.
Face search is optional, off by default and needs consent, so announce it if you use it. It helps guests find their photos; your team does not need it for content.
Use the screen to make people upload more
A live slideshow on the lobby, bar or stage screen is the cheapest incentive there is. When guests see their photo on the big screen a minute after uploading it, the next group scans without being asked. With moderation on, only approved photos reach the screen.
Likes help too: they show which photos guests prefer, a free first filter for what to post. The morning after, open the gallery, approve what is left, download the best shots and schedule three posts.
Who runs it: the hotel or each entertainer?
If the entertainment is in-house, one professional account for the property is cleanest: team members can be invited to create and manage events, your branding sits on every gallery and there is no commission on your events. If a third party runs the nights, agree in the contract who owns the gallery and who may post from it.

Frequently asked questions
Do hotel guests need to install an app?
No. They scan the QR code with the phone camera, the gallery opens in the browser, they type a first name and upload. No app and no account.
Can we control which photos appear on the screen?
Yes. With moderation on, nothing appears in the gallery or on the slideshow until your team approves it, and you can remove photos later.
Can we post guest photos on the hotel's Instagram?
Technically yes, but get the permission first. Say on the printed card that photos may be used on the hotel's channels, approve only suitable photos and credit the guest where it makes sense. Check local image-rights rules.
How do we handle children in the photos?
Run family and kids club nights as separate events, keep those galleries for the families present and never post photos of children without a parent's permission.
Can the gallery carry our hotel branding?
Yes. A branding pack puts your logo on the gallery and slideshow, and a setting controls whether the Momentzy line is shown on your events.
